CLASSIFICATION: Typist Clerk (Skill Building)

Pay Range: $$15.61 - $17.94 Hourly

POSITION SUMMARY:

Under direct supervision of Mental Health Supervisor (Skill Building), provides clerical support for the Saginaw County Community Mental Health Authority (SCCMHA) skill building program. Answers phones and greets visitors to the program, type correspondence, forms, reports, pamphlets, and other documents. Collect data and creates computer files. Completes data entry. Orders and maintains office supplies. This position will be knowledgeable about and actively support culturally competent recovery based practices; person centered planning as a shared decision making process with the individual, who defines his/her life goals and is assisted in developing a unique path toward those goals; and a trauma informed culture of safety to aid consumer in the recovery process.

ESSENTIAL DUTIES AND RESPONSIBLITIES:

1. Answers the phone and greets visitors to the building.

2. Formats and inputs data into computer data base as directed.

3. Types or prepares documents as directed, including letters to families/homes, meeting minutes, etc.

4. Is responsible to maintain consumer billing information

5. Prepares provider/family mailings.

6. Supports the staff with copying and preparing instructional packets.

7. May handle confidential materials.

8. Enters data collected on computer and generates required reports for SCCMHA and other external entities as directed.

9. Copies, faxes and files unit materials as appropriate and directed.

10. Orders and maintains office supplies.

11. May assist with special events (holiday parties, etc.).

12. Distributes mail to appropriate staff mail boxes.

13. Scans documents into the Electronic Medical Record.

14. Adheres to core values and operating principles of Saginaw County Community Mental Health Authority (SCCMHA) at all times.

INCIDENTAL DUTIES AND RESPONSIBILITES:

1. May work in another office or activity.

2. Works independently to become familiar with computer programs and software packages and attends meetings, in-service training, etc.

3. Reacts productively to change and handles other essential tasks as assigned.

4. Able to work in a fast-paced office setting.

5. Ability to use computer hardware and software. Be knowledgeable of various programs, including but not limited to Microsoft Word, Microsoft Outlook, Microsoft Excel, Sentri.

REPORTING RELATIONSHIPS:

Reports to: Mental Health Supervisor (Skill Building)

Supervises: None

WORKING CONDITIONS/ENVIRONMENT:

Works in office environment with pressures of dealing with time constraints. Utilizes computer for documentation, data collection, billing inputting, spreadsheets, etc. May be occasionally exposed to consumers that exhibit behavioral challenges. May be required to driver occasionally between buildings.

QUALIFICATIONS:

Education: High School diploma or equivalent with courses in typing, computer, office practices and general business.

Experience: One year clerical experience.

License and Training: Valid Michigan Driver's license with a good driving record.

Knowledge, Skills, and Abilities:

1. Knowledge of Office Practices, English, spelling, medical terminology, math, computers, word processing software and general business.

2. Ability to type accurately using alphanumeric keyboard.

3. Proficient in Outlook, Access, Excel, Power Point and Microsoft Publisher.

4. Demonstrated accuracy with detailed work.

5. Excellent communication and interpersonal skills.

6. Ability to relate to individuals from all social, cultural and economic backgrounds.

Physical/Mental Requirements:

1. Hearing acuity to converse in person and on telephone.

2. Visual Acuity to read and proofread documents.

3. Ability to walk, stand, or sit for extended periods of time.

4. Manual to write and to operate standard office equipment (PC, Keyboard, Copy Machine, Fax Machine, etc.)

5. Ability to regularly lift and carry files and supplies at least 30 pounds. Ability to reach, bend, or stoop to manage charts or supplies up to 30 pounds, must also have the ability to push or pull large records cart.

6. Strong interpersonal skills to interact with leadership, employees, consumers, providers and the general public.

7. Mental capacity to think independently, follow instruction and use judgment.

8. Ability to use tact and courtesy with others.

9. Ability to plan short and long range and to manage and schedule time.

10. Ability to handle stress in meeting deadlines and dealing with diverse individuals in daily work.

11. Ability to protect confidential documents and information with discretion.
